How to set up e-invoicing with Liantis

Have you already switched to electronic invoicing, and you’d like to receive invoices for your social security contributions in the form of electronic invoices? It’s possible! The guide below explains how to receive payment requests from the social insurance fund Liantis as e-invoices.

Guide to activating electronic invoices at Liantis

Every quarter, you receive payment requests for your social security contributions. Now, you can make the task easier for yourself by automating part of the process.

To be able to receive e-invoices from Liantis, you need to be registered on Peppol. Have you already done that? Perfect, then let’s continue.

To activate electronic invoicing at Liantis, follow the steps below:

  1. Log in to My Liantis.
  2. In the left bar, click ‘Ik als zelfstandige’/‘Moi en tant d’indépendant’ (‘Me as self-employed’).
  3. Then click ‘Mijn sociaal status’/‘Mon statut social’ (‘My social status’).
  4. Click ‘Mijn profiel’/‘Mon profil’ (‘My profile’) and select ‘Mijn voorkeuren’/‘Mes préférences’ (‘My preferences’).
  5. In the ‘E-Facturatie’/‘Facturation électronique’ (‘Electronic invoicing’) section, click the ‘Activeren’/‘Activer’ button (‘Activate’) and enter your (professional) email address.
  6. Click ‘Bevestigen’/‘Confirmer’ (‘Confirm’).  

From now on, your invoices will be electronic and you’ll receive an email when new documents are waiting for you.

How does electronic invoicing work?

An electronic invoice isn’t the same thing as a digital invoice. A PDF invoice is a digital invoice but not an electronic invoice.

Electronic invoices, or e-invoices, are XML files transferred in UBL format via the Peppol network. These UBL standards ensure that all the necessary information is included on the invoice and that it’s readable by accounting or invoicing software.

These software programs can automatically create, receive, and even process electronic invoices. They can even be authorised to automatically pay invoices.

Receiving e-invoices: first, register on Peppol

To activate electronic invoicing via Peppol with Liantis or other providers, you need invoicing or accounting software. Then, simply register with Peppol. Registration is easy and free.

Follow these steps to register via Accountable:

  1. Log in via the website or app.
  2. Open the menu and click on 'Settings'.
  3. Select ‘Peppol (e-invoicing)’.
  4. Register to receive electronic invoices via the Peppol network.

Activation might take some time. To confirm if it worked, check whether your company is registered in the Peppol Directory.

What happens next?

Once your registration is complete, you’ll start to automatically receive electronic invoices from some of your suppliers that use electronic invoicing. For others, such as Liantis, you have to activate e-invoicing yourself. Your invoices will then automatically appear in the expenses tab in Accountable. Another little bit of time saved!
